Five things hiding in your business phone bill
Most business phone bills contain charges nobody has explained. Here's what to look for before your next renewal.
Most business owners look at one number on their phone bill: the total. If it’s roughly what it was last month, the bill gets paid and everyone moves on.
That’s how small charges survive for years. Here are five worth checking on your next statement.
1. Lines for people who left
Every business has them. An employee leaves, HR handles the exit, and nobody tells whoever manages the phone account. The line keeps billing.
Pull your current statement and count the active lines. Compare that to your actual headcount. If the numbers don’t match, you’ve found money.
2. Overage that should be pooled
Individual plans each have their own data allowance. When one person travels heavily, they blow past their limit and get charged overage — while three colleagues use half of theirs.
A shared pool across the team levels this out. For most businesses running more than five lines, the pooled plan costs less than the overages alone.
3. Features you were sold once
Voicemail transcription, premium directory listings, device insurance on phones you no longer own. These get added during setup and never reviewed.
Ask for an itemized feature list per line. You’ll usually find at least a few that no one would choose today.
4. Contract terms that already expired
Plenty of business agreements run their term and then quietly convert to month-to-month at the same price. Meanwhile, current plans offer more data for less.
Find your contract end date. If it’s passed, you have leverage and nothing holding you back.
5. Taxes and fees on services you cancelled
Cancellations sometimes remove the base charge but leave associated fees behind. It’s a billing-system quirk, not malice, but it costs you the same either way.
Compare a recent bill to one from before your last cancellation. Line up the fee sections.
